Privacy policy

What happens to the details you send through this website, who sees them, how long they are kept and how to ask for them to be deleted.

The short version

  • When you ask for a quote, we pass your enquiry to one qualified fire risk assessor who covers Hull and East Yorkshire. They contact you with a quote. No one else gets your details.
  • We do not carry out fire risk assessments ourselves. The assessor you are introduced to is a separate business, responsible for the assessment and for their own records.
  • We do not sell your details and we do not send marketing unless you ask for it.
  • You can ask us at any time what we hold about you, or ask us to delete it.

Who is responsible for your data

This website is run by Andre Douglas, a sole trader, trading as Hull Fire Assessments. For anything in this policy, email info@hullfireassessments.co.uk.

What we collect

When you fill in the quote form: your name, phone number, email address, the type of building, its postcode, the number of buildings and anything you write in the details box.

Where you came from: the form also records the page you first landed on, the website that sent you (if any) and any campaign tags in the link. This helps us see which pages bring enquiries. Your browser keeps this note for 30 days so it can be sent with your enquiry; you can clear it by clearing this site’s data in your browser.

When you phone or text us: your phone number, the time of the call and any message or voicemail you leave.

Technical logs: like every website, our host keeps short-term server logs (for example IP address and pages requested) for security.

We do not currently use advertising or analytics cookies on this site. If that changes, this policy will be updated first.

Why we use it, and the legal basis

  • To get you a quote. We pass your enquiry to one local assessor and send you a text confirming we received it. This is a step you have asked us to take, and it is in our legitimate interest to run the service you used.
  • To keep a record of enquiries. So we can answer questions about an enquiry, deal with complaints and keep count of the enquiries we pass on. This is our legitimate interest.
  • To keep the site secure. Server logs and spam checks protect the form from abuse. This is our legitimate interest.

Who we share it with

  • One fire risk assessor. Each enquiry goes to a single qualified assessor covering your area. Once they have it, they use it to contact you and quote, and they are responsible for it under their own privacy policy.
  • Service providers who run the site for us. Our website host (A2 Hosting), our customer database and messaging provider (GoHighLevel), which stores enquiries and sends confirmation texts, and our email provider (Google). They process data only on our instructions.
  • Where the law requires it. For example, to the police or a regulator with a lawful request.

Some of these providers store data outside the UK, including in the United States. Where that happens, the transfer is covered by the safeguards UK data protection law requires.

How long we keep it

  • The backup copy of each form enquiry held on the website is deleted automatically after 12 months.
  • Enquiry records in our customer database are kept for up to two years after we last hear from you, then deleted.
  • Server logs are kept by our host for a short period, usually no more than a few weeks.

Your rights

You can ask us to:

  • tell you what we hold about you and give you a copy
  • correct anything that is wrong
  • delete your details
  • stop or limit how we use them, or object to us using them
  • give you your data in a format you can take elsewhere

Email info@hullfireassessments.co.uk and we will reply within one month. If we have already passed your enquiry to an assessor, we will tell you who, so you can contact them as well.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.

Changes to this policy

If we change how we use your data, we will update this page and the date at the top.
